SystmOne Setup
As soon as you have access to our system (Joining our Organisation Group), there's work you can do to prepare for going live:
- Set Appointment Flags
- Set up appointment invitations (if you want to use them - highly recommended!)
- Sort SystmOne Toolbars
- Speed up SystmOne
- Configure free slot searches - there are some you can create straight away but the full set will need to await completion of the kick-off meeting
Communication, Communication, Communication
Once this is done, communicate with your team about the new system. From experience, the best approach is something like this...
- Tell staff about the new system, explain the reasons why you're making the change and the benefits you expect to see
- Encourage them to watch the Quickstart training video appropriate for them and to start using the system
- Schedule training sessions with us for a few weeks later. Staff get much more out of this if they've started to use the system and have a vague idea of what's involved.
Training
These are the quickstart videos:
- For Nurses & HCAs (<3mins) - covers using Recall Overview and recording bloods
- For Reception (<6 mins) - covers booking annual reviews and monitoring appointments
- For GPs / Clincians (<7 mins) - covers requesting one-off bloods and pop-ups when starting new medication
If staff are keen, you may want to direct them to the full playlist for their role:

Alternatively, they may prefer to wait until we can go through invites with them and start getting things sent out.
We also recommend subscribing to our YouTube channel and joining our Facebook Group.
Out with the old
Once staff are up and running, think about turning off old systems, e.g. turning off status alerts / templates, removing them from toolbars or clinical trees, etc. This can help reduce confusion and get everyone into working with the new system.
There's other work to do to complete the transfer:
- Recalls that were very specific to individual patients (i.e. not due to being on a particular medication or having a condition) need to be added in the new system- How do I transfer old recalls? :
- Review the patients identified as needing a visit or living in a care home
- Check for registration issues that may stop localisations working properly
