Sorting SystmOne Toolbars

Taking away everyone's ability to configure their own toolbar is probably one of the least popular but best things you can do to manage the use of SystmOne in your practice!


It reduces the ability of staff to go rogue with what they're using and gives the practice control over what resources staff need. To make this work, though, you need to set up different toolbars for different staff groups. As a minimum, we would suggest one for Clinicians, one for Admin / Reception and one for Nurses / HCAs. You may want to refine further in time.


Some things should be on all staff toolbars but many things are specific to the role. 


To do this work...


1. Navigate to Organisation Preferences / Toolbars: 




2. Start with your current standard toolbar, update it, remove stuff you don't need and add the overview template for each module of ours you're using, e.g. Recall Overview:


3. Copy this toolbar and create a version for a particular staff group, e.g. reception. Take off what they don't need, add what they'll be using all the time. For Clinicians, we'd recommend including the "Request One-Off Tests" template:



4. Publish the new toolbar and assign it to staff roles and individuals - you'll need to use a combination of these if some staff roles are split in which toolbar is needed. e.g. you may have ACPs with a staff role of "Nurse Access Role" but who should have the Clinician's toolbar:


5. Once you're happy with these toolbars, and you've saved the preferences, its time to turn off the ability for everyone to configure their own. You may want to do this in stages, depending on how brave you feel:


6. Prepare for the barrage of queries like "where has the head gone?" and find out templates from a previous century are still in use.


Expect a few bumps along the way but long term it will be much better. Part of your staff setup process should also include making sure they've got the correct toolbar. It will also really help with the roll out of our systems.
