August 2025 Update Including Flu & Covid Vaccinations

Prescribing

  • Flu
  • Resources - we're developing additional resources to explain how the system works. This article explains the logic behind how the system determines when a med review is due - When do patients need a medication review? : Welby Innovate. We're also working on flow maps that can help make pathways clearer.

Recall

  • Prompts for Reception/Admin – Following very positive feedback, we’ve started to develop our prompts so that receptionists can just read out what they say, and they’ll give a brief summary of the reason for the patient needing to attend, e.g.

      We’ve done a few of these already and are planning to take this approach across all prompts.

  • New ability to identify and review patients who regularly have bloods taken in secondary care - this is to avoid inviting patients we know are often monitored elsewhere - How do I manage patients who regularly have bloods elsewhere? : Welby Innovate
  • 2 yearly and 3 yearly monitoring - you can now set this up on the "Select Tests for Monitoring" Template. We're aware that some of you need to do 3 yearly BP for NDH patients so we've a built a report for bulk adding that - How do I bulk add regular monitoring to lots of patients? : Welby Innovate
  • New appointment link options coming – we’re going to add Pill Check and HRT to the list of links available for inviting patients for their annual review. If you think there are others that would be helpful to add, please let us know. Please note that if you’re currently using appointment links for annual review invites, you’ll need to make sure you also run these new reports otherwise patients will be missed.
  • Out of Sync – a number of you have asked how you might review/invite patients who are very out of sync with birth month reviews.   • Monitoring
    • DOACs – we’ve nearly completed our work of aligning our monitoring to the CQC reports. The last change we’re planning to is include mildly frail patients in the criteria for 4 monthly monitoring. We previously did do this due to the vagaries of frailty coding. We’ll be making this change soon. We’ve created a report that identifies patients who only need 4 monthly monitoring because of their frailty coding. You may want to review and update their frailty status. The report is under Welby Innovate Recall / Monitored Meds DOACs / ***REVIEW Frailty Coding: Will be having 4 monthly monitoring only due to frailty code - updating/refreshing frailty code will remove from report for 3m
    • DMARDs Monitoring -  A few practices have the system configured to automatically monitor DMARDs more frequently when first started. On the basis that shared care should only be put in place once patients are stable, we’re planning to phase out this option over the next few weeks. You’ll still be able to use the “Select Tests for Monitoring” template to setup more frequent monitoring where its needed.

 

Pathology

  • Major developments are planned for September, with a webinar to review those changes on 16 September.   • Auto-calculating Home BPs – testing has gone well. We’re planning to switch all practices using the BP prompts to this new questionnaire in the next few weeks. Please let us know if any concerns and see this article for more details - Blood Pressure : Welby Innovate
  • A few minor changes…
    • New lipid reports - patients who were coded in the previous QOF year as either maximum tolerated therapy or not indicated, but haven’t been coded in the current QOF year. This gives the option to code patients before they might be offered a statin if you want to prevent that from happening. Reports are in section 9d of the Lipids folder
    • AutoReview rules – we’ve made some changes to use the new lab ranges feature. This will make rules work more effectively across different labs and may mean there are additional ones you would like to enable. We recommend reviewing them and checking you’ve got all enabled that you’d like.

In other news…

  • Our QOF spreadsheet is now ready to use with the updated QOF rules. It will likely need updating again when the retired indicators go, but this will work with the existing data in SystmOne. To download your copy - How do I monitor QOF work and maximise income? : Welby Innovate
  • I’m looking at how we might use visualisations, e.g. to display all BPs (including the self-reported codes). If anyone has made progress with developing some and is willing to spare me 30 minutes, let me know!
