March 2024 Updates
Help and Support
We’ve launched a YouTube channel where we’re uploading training videos – www.youtube.com/@welbyinnovate – we plan to upload a lot more resources here that can be used for new staff, for helping practices who are just joining us, and more detailed videos for those of you who run the system in your practice.
We’ve put together a help and support S1 template that you can access in the top right of all our templates: It mainly links to YT videos but there’s other content there – particularly of note is the timetable we’ll be following for adding months of birth into the annual review invites through the year.
Appointment Booking, Free Slot Searches and Capacity Planning
We’ve done a lot of work on this and have a new report folder that will show you which free slot searches your system needs, based on your setup. The reports give an indication of the capacity you’re likely to need for each free slot search. The folder is IHS Recall / Annual Review Free Slot Searches and this video explains more - https://youtu.be/KQUW8YnXpYE?si=heaaaeTXa3BFavcc
Localisation Options
As new practices join, we’re developing options for localisation. Each module has a Localisation folder where you can see the options that are available. If there’s anything there that would help your practice, let us know and we can apply that localisation option for you. For those of you who’ve been with us a while, we can also meet and run through those options if that would help.
Last Change to Improve QOF Prevalence
If you’ve got our pathology module, even if you haven’t got it fully up and running yet, there are some reports you may want to bulk code before Monday to improve your prevalence, especially with the protected income for QOF registers next year. To increase CKD prevalence: IHS Pathology / 8 UE and ACR – section 4.
There’s a video that talks you through this too - https://youtu.be/OXFsz-6lLqY?si=EoTo-wNEdq07Yl76 To increase NDH prevalence: IHS Pathology / 4 HbA1c - 2a) BULK CODE - Non-diabetic hyperglycaemia (XaaeP - major active problem)
To increase DM prevalence: IHS Pathology / ***NURSE: Diagnosis: DM should be diagnosed: HbA1c =>48 *2 and not diagnosed or excluded
There are also reports in our prescribing module that may help identify any outstanding issues with Prescribing indicators. These are under IHS Prescribing / 1 Pharmacists to Action / QOF section.
Name change on SystmOne
When we launched last year, we weren’t sure on a name and went with Innovative Health Systems – catchy! That is still our business name but we’re now using the name “Welby Innovate”, reflecting the joint venture between the Welby Group of Practices and Innovative Practice Limited. Where you currently see “Innovative Health Systems” on S1, e.g. in the group name, or some folder names, we’ll gradually be changing those to “Welby Innovate”. IHS will still be at the start of the folder names, at least for the foreseeable future. Apologies for any confusion!
Coming Soon
• Appointment links that work with our protocols and prompts.
• Depression Annual Review – Questionnaire and Process that can be included with Recall invites for patients with depression diagnosis and on an SSRI.
• HRT and other reviews – similar to Asthma Control Questionnaire - you’ll be able to send Questionnaires to and the system will determine if any follow up is needed.
• Arpa – our RPA solution will soon be available to work with our existing systems and take away other admin tasks such as attaching of letters and actioning incoming tasks – let us know if you’re interested in being an early adopter!
