Our system has a huge amount of data that can be used to work out the staff mix and capacity needed for your practice. Here's how...
- Download a copy of our Capacity Planner (available at the bottom of the article)
- Run all the clinical reports in these two folders:
- Annual Review Free Slot Searches (94)
- Capacity Planning (30)
- Make a coffee / tea while you're waiting for those to finish running. Find something else to do if still running.
- Extract the data in each folder by right clicking and picking the option to Open as CSV
- Copy all of the data from the table.csv into the capacity planning spreadsheet
- The data from the folder "Capacity Planning" goes into the sheet "S1 Data - Capacity Planning"
- The data from the folder "Annual Review Free Slot Searches" goes into the sheet "S1 Data - AR"
- In the sheet "Other", set the duration of different appointment types in your practice, and select the staff role that would see the appointment, e.g.
Blood sample taken, and LTC review code are left deliberately blank
- In the sheet "AR", do the same for each line where the item count >0, e.g.
- In the sheet "Overview", you can set expected response rates, staff leave and percentage contact time and you will see an estimated WTE per staff role to meet demand:
To be aware of:
- The spreadsheet is protected to avoid accidental changing of formulae, but you can unprotect individual sheets.
- Data extracted towards year end, for Annual Reviews, will be likely higher than normal as the reports are looking for patients who need an appointment between now and the end of March
- The most accurate picture will come at the start of April
- Response rates to questionnaires and their impact is not factored in
- This is a rough approximation and should be sense checked
