How do I arrange a follow up?

Modified on Wed, 11 Sep, 2024 at 4:49 PM

This video introduces a follow-up feature in the Recall System for scheduling future appointments with patients. Clinicians can set follow-up time frames, ensuring patients return for further consultations.

Step-by-Step Guide: Using the Follow-Up Feature in the Recall System

  1. Access the Follow-Up Feature

    • Look for the button with a door and a green arrow in the patient’s profile. Click on it to open the follow-up template.
  2. Schedule a Follow-Up

    • Pick a Clinician: Select the person with whom the follow-up will be scheduled (e.g., GP, nurse).
    • Set a Time Frame: Choose the follow-up timeframe (e.g., 3 months).
    • The system will automatically add relevant codes in the background to track the follow-up.
  3. Check for Follow-Up Icon

    • After scheduling, the patient’s profile will show a "follow-up due" icon with the same door and green arrow. This indicates a pending follow-up.
  4. View Follow-Up Details

    • Clicking the follow-up icon will display details of the scheduled follow-up, such as the clinician and the reason for follow-up.
  5. Complete the Follow-Up

    • Once the follow-up is done, click the "Follow-Up Complete" section in the template.
    • Select the Clinician: Choose the clinician who completed the follow-up.
    • Mark it as complete to clear the follow-up and prevent further reminders.
  6. Ensuring Correct Follow-Up Matches

    • Ensure the follow-up matches the appropriate clinician role. For example, if a follow-up is assigned to a respiratory nurse, only they can complete it.
  7. Handling Invites and Messages

    • For admin staff, invites to patients will be handled through clinical reporting.
    • Go to "Welby Innovate Recall" under Section 3 to find the new follow-up configuration section.
    • Use specific codes and reports for different follow-ups. A letter template will also be available to cover various types of follow-up in one document.
  8. Track Multiple Follow-Ups

    • The system is designed to handle multiple follow-ups with different timeframes for the same patient. Ensure all follow-up codes are added correctly so nothing is missed.
  9. Further Assistance

    • If needed, contact support for more help or offer suggestions for improvements.
