How do I Request One-Off tests?

To add one-off requests for a patient, launch our template "Request One-Off Tests". Its available on the template side bars here:

Here's how to use the template:



Remember:

  • Many tests will automatically be covered by our system. If you're starting a patient on a statin, there's no need to request Lipids and LFTs in 3m - we've already got that covered!
  • If you're future dating tests, set the date a few weeks before you want it to be taken to allow time for the patient to be invited and booked in
  • If you're only requesting samples, the system won't remind patients for those

Step-by-Step Guide: Requesting One-Off Tests in the System

1. Accessing the Recall Overview

a. Launch the Recall Overview:

  • You can access the Recall Overview from the main toolbar or via any templates where it is available.

b. Familiarise Yourself:

  • The Recall Overview helps you manage blood tests, future tests, and other patient requests efficiently.

2. Requesting Blood Tests

a. Select the Tests:

  • Tick the Tests: Choose the blood tests that need to be requested. These will be added to the list of tests that the system has already identified as needing to be done.

b. Review Current and Future Tests:

  • Current Tests: Check the list of tests already needed.
  • Future Tests: You can schedule tests for future dates by entering the appropriate date. This helps avoid creating additional tasks or recalls.

c. Enter Future Dates:

  • Set Dates: Input dates for when future tests should be due. It’s often recommended to set the date slightly earlier (e.g., two months instead of three) to accommodate the system's invite process.

d. Considerations for Future Tests:

  • System Recognition: The system will recognise tests as due only when the set date is reached.
  • Early Visits: If a patient comes in before the scheduled date, the system might still think the test needs repeating, which is necessary for accurate tracking.

3. Managing Samples and Lab Tests

a. Note on Samples:

  • Currently, the system doesn’t invite for urine/stool samples etc separately. However, if samples are combined with other tests, they will appear in the Recall Overview.

b. Adding Other Lab Tests:

  • Free Text Option: You can add other lab tests using a free text option. This is useful if you have tests that aren’t pre-configured in the system.

c. Clinical Comments:

  • Add Comments: Enter any relevant clinical comments. These will be displayed in the Recall Overview for staff to review.

4. Generating Tasks

a. Create Urgent Tasks:

  • Select Urgent: If a test is urgent, tick the ‘Urgent’ box. This will generate an urgent task and mark it accordingly.
  • Direct Action: For urgent tests, you might need to handle them immediately rather than waiting for the task to be processed.

5. Using Appointment Links

a. Send Appointment Links:

  • Select Link Type: Choose the appropriate type of appointment link (e.g., for blood tests).
  • Set Up Communication: Use the preset for appointment links to ensure the patient receives the appropriate message.

b. Communication Options:

  • Allow Replies: Decide if you want to allow patient replies. For high-risk drugs, it’s generally advised not to allow replies to avoid confusion.

6. Blood Test Groups

a. Access Blood Test Groups:

  • Navigate to the Blood Test Group Page: This section is for requesting a group of tests (e.g., a liver screen).

b. Add Relevant Tests:

  • Select the Group: Choose the appropriate blood test group. The system will automatically add the relevant tests and codes.
  • Additional Considerations: For specific tests (e.g., liver screens), the system may prompt you to consider additional tests like an abdominal ultrasound if needed.

7. Reviewing and Confirming Requests

a. Check Task Details:

  • Review Tasks: Ensure tasks are correctly assigned and prioritised. If needed, select the appropriate organisational group for task assignment.

b. Finalise Requests:

  • Confirm and Send: Review all details and confirm the requests. Ensure all necessary codes and comments are included.

c. Notify Staff:

  • Alert Staff: Make sure that any generated tasks or alerts are communicated to the appropriate staff members for follow-up.

8. Additional Support

  • Contact Support: If you have any questions or need further assistance, reach out to support for help.
