The SystmOne auto-review rules engine can file a lot of results, but there are always limits to its capabilities. For example, calculations about changes in results or comparing results against personalised targets can be much more effectively done using protocols.
For this reason, it can be useful to have some admin staff who file certain results that our rules may not be able to file, such as PSAs where a patient has a personalised target coded. To aid these staff in filing some results, we have developed protocols that interrogate the latest results and advise staff whether it's appropriate for them to file and how results should be filed.
Protocols are currently available to support the filing of:
- ACR
- ESR (using age/gender formula)
- HbA1c (only flagging any that need urgent review)
- Lipids (only flagging any that need urgent review)
- PSA
- TFT
- UE / eGFR
Some of these protocols are also helpful for clinicians filing results, particularly PSA. The guidance will display a little differently for clinicians and display the patient's PSA target and the reasons for it, e.g.:
Wherever a filing protocol is available, you will see this status alert on the patient demographics:

Setting up the Prompts in your practice
Before automating these prompts for some staff, you should be aware that these pop-ups will appear when retrieving records for other reasons if relevant results are waiting to be filed. SystmOne protocols can't always be configured to account for what is being done in a patient record at the time of retrieval.
If you want to use these prompts in your practice, there are some steps to follow:
- Navigate to Protocols, Welby Innovate / Pathology:
- For admin staff, copy the protocol called "Filing Guidance: Launch for Admin staff"
- Set staff/teams that you want to file results:
- Remove the age filter by unticking "Maximum age":
- Click "Ok", publish and test on unfiled results.
- For clinical staff, copy the protocol called "Filing Guidance: Launch for Clinical"
- As per steps 3 and 4 above, set the staff you want the prompts to appear for and remove the age filter.
- The protocol has filing guidance for PSA, Lipids and UE/eGFR included by default, but you can remove some of these or add in others if you'd like.
- Click "Ok", publish and test on unfiled results.
