Step-by-Step Guide to Creating a Localised Communication Annexe Preset

Sometimes, you may feel the need to adjust the message preset to better fit your practice and patient needs. By creating your own presets, you have the flexibility to customise your messages. However, it's important to note that the reports explain which presets are required for each report. This is something to be mindful of if you decide to create your own presets, as using the correct preset is crucial for maintaining consistency and accuracy in your practice's communications.


Step 1: Access Message Template Maintenance

  1. Log in to SystmOne: Ensure you have the necessary permissions to access the system settings.
  2. Navigate to Setup: From the main menu, select 'Setup'.
  3. Select Data Output: Within the setup menu, choose 'Data Output'.
  4. Open Message Template Maintenance: Click on 'Message Template Maintenance' to begin creating your communication annexe preset.


Step 2: Create a New Communication Annexe Preset

  1. Select 'New': In the Message Template Maintenance section, click on 'New' to create a new template.
  2. Add Your message: Input the standardised content that will be used in this communication annexe. Ensure that the language is clear and appropriate for the intended audience.


Step 3: Define the Communication Annexe Details

  1. Enter a Title: Provide a clear and descriptive title for your communication annexe. This title should reflect the purpose of the communication to ensure easy identification.


Step 4: Assign the Correct Read Code

  1. Select 'Read Code': Within the communication annexe setup, locate the section for adding a read code.
  2. Choose the Appropriate Read Code: Select the read code that accurately matches the report title and the purpose of the communication. This is crucial for ensuring that the communication is correctly categorised and can be easily retrieved in patient records.
  3. Verify the Read Code: Double-check that the read code aligns with the communication's intent and is consistent with your practice's coding standards.


Step 5: Save and Publish 

  1. Save the Preset: Once all details are entered and verified, save the communication annexe preset. 


Step 6: Publish the Communication Annexe Preset

  1. Publish the Preset: After saving, you must publish the communication annexe preset to make it available for use within the practice. This step ensures that all staff can access and utilise the preset as needed.


Step 7: Test the Communication Annexe Preset
